Privacy policy

CK Embroideries respects your personal information and handles it in line with the Protection of Personal Information Act, 2013 (POPIA). This policy explains what we collect, why we collect it, and how we keep it safe when you enquire, place an order, or deal with us through our contact page.

1. Who we are and how this policy applies

This privacy policy applies to CK Embroideries, based in Riverside, Mbombela, and to all enquiries, quotations, orders and related services handled for customers in the Lowveld and beyond. It covers personal information collected when you ask for embroidery, digitising, screen printing, sublimation printing, branding, corporate wear, schoolwear, promotional gifts, or related services.

The operator of this site and related online enquiry handling is Astros Marketing (Pty) Ltd, acting on behalf of CK Embroideries. By sending an enquiry or placing an order, you understand that we may process your information for legitimate business purposes connected to your request.

2. Information we collect from you

We collect only the information that is needed to quote, produce, pack and deliver your order, or to respond to your enquiry properly. This may include personal details, business details, order instructions, artwork files, delivery details and communication records.

  • Name, surname and company or school name
  • Contact details and preferred communication method
  • Delivery or collection details
  • Logo files, artwork and branding instructions
  • Order history, invoice details and payment records
  • Any notes needed for name personalisation or size allocation

When you send us logos or garments for branding, we may also receive information contained in those files such as staff names, school names, departments or reference numbers. We use that information only for the work you requested.

3. Why we use your information

We process your information so that we can provide accurate quotations, confirm artwork, produce branded items, manage stock, handle invoicing and keep proper records. We also use it to communicate about order changes, approvals, lead times and collection or delivery arrangements.

  • To respond to enquiries and prepare quotations
  • To create and approve mock-ups before production
  • To produce embroidery, printing and branding correctly
  • To manage accounts, payments and order fulfilment
  • To keep internal records for tax, audit and business administration
  • To resolve service queries and maintain customer history

We do not use your personal information for purposes that are unrelated to our work unless you have agreed to that or the law requires it.

4. Sharing information with third parties

We may share information with trusted third parties only where it is necessary to complete your order or operate our business properly. This can include service providers who assist with production, payment processing, delivery, accounting or storage of business records. We require such parties to handle your information carefully and only for the agreed purpose.

  • Suppliers involved in order fulfilment or garment sourcing
  • Couriers or delivery partners when transport is required
  • Accountants, auditors and other professional advisers
  • IT and record keeping providers who support our systems

We do not sell personal information. If the law requires disclosure, or if a court or regulator requests it, we may share information to comply with that requirement.

5. How we protect and keep your information

We take reasonable technical and organisational steps to protect personal information against loss, misuse, unauthorised access or disclosure. Access is limited to people who need the information to do their work, including our team in production, sales, accounts and order coordination. We also use practical controls over files, records and customer communications.

We retain information only for as long as it is needed for the purpose for which it was collected, or for as long as the law requires. Some records must be kept for tax, accounting or commercial reasons. When information is no longer required, we take steps to delete or securely archive it.

Because many of our customers are in Mbombela, White River, Hazyview, Malelane and Barberton, we understand the value of timely order handling and careful record management. Good records help us avoid errors with repeat orders, name lists and size runs, especially on bulk school and corporate work.

6. Your rights under POPIA

You have rights in relation to your personal information. Subject to POPIA and other applicable laws, you may ask to access, correct, update or delete information that we hold about you. You may also object to certain processing where the law allows it. If information is no longer accurate, please let us know so that we can update our records.

  • Ask what personal information we hold about you
  • Request correction of inaccurate details
  • Request deletion where lawful and appropriate
  • Object to processing in limited circumstances
  • Lodge a complaint with the Information Regulator if needed

To exercise your rights, please use the enquiry form on our contact page and provide enough detail for us to identify your request. We may need to verify your identity before making changes or releasing information.

7. Changes to this policy and contact for privacy matters

We may update this privacy policy from time to time to reflect changes in our operations, legal obligations or the way we handle information. The latest version will apply from the date it is published. It is your responsibility to review the policy occasionally if you continue using our services.

If you have a question about this policy, your information, or how we handle personal data for embroidery, printing, corporate wear or schoolwear orders, please send your query through the contact page enquiry form. We will deal with privacy matters in a practical and responsible way.

By continuing to use our enquiry process and services, you acknowledge that you have read and understood this privacy policy.
